Plan a meeting box: size, installation location & installation

From the first idea to the installation location

A meeting box fits your office if the use, size, equipment and installation location match. In addition to the external dimensions, also plan access, door opening, ventilation and assembly - and check the entire delivery route before ordering.

Urban telephone boxes and meeting boxes in different sizes
The Urban Line as a size example. The dimensions and selected design of the specific model are decisive for your planning; Pictures show possible equipment.

1. What do you need the box for - and how many people use it?

Start with your everyday work: What should take place in the box, how long do the conversations last and how many people are usually in there at the same time? A short meeting has different requirements for movement space, table and seating than a longer meeting.

Phone calls & focus work

For one person, what counts is a suitable workplace, light, electricity and the desired acoustic shielding. Also check whether the box should be used primarily while sitting or standing.

1:1 conversations & video calls

Plan sitting positions, distance and suitable storage. Camera view, screen position, light and connections are also important for video calls.

Team meetings

In addition to the number of seats, table space, legroom and access to each seat are also taken into account. If you are using it for a longer period of time, it is worth comparing with a larger model.

The number of people is the starting point, not the entire size comparison

Compares external dimensions, usable interior space and the intended furniture. The maximum number of people alone says little about how comfortable your specific seating and table arrangement is. Boxes for the same number of people can also have different widths or depths.

On the product pages you will find the external dimensions, suitable interior fittings and other boxes for the same number of people. Under “A little more space?” you can compare larger alternatives. You can experience the feeling of space by making an appointment in the Showroom Munich ; ask in advance about the models on display.

2. More than width and depth: check the installation location

Draw the box with the external dimensions of the desired version in your floor plan. Then adds the areas and open spaces for daily operations and construction. A suitable footprint alone is not enough.

Box & floorCheck external dimensions and weight, floor conditions, suitability of the area and the actual room height.
Access & doorPlan door opening, entry and exit and the adjacent paths. The box should remain usable even when open.
Air & AssemblyClarify the prescribed clearances for ventilation, construction and maintenance on the specific model.
  • Room height and obstacles: Measure at the actual location. Beams, lights, cables or other installations can limit the usable height.
  • Air routing: Plans supply and exhaust air openings freely. The distances required depend on the design and installation specifications.
  • Power and cable route: Clarifies connection options and cable routing without obstructing access or walkways.
  • Subsurface and weight: Check the information on the box and, if the suitability of the floor is unclear, contact the responsible specialist include.
  • Accessibility: If there are special requirements, clarify the door passage, threshold, movement areas and furniture with us and your planning at an early stage.

No general distance specification for all models

Free spaces above, next to and behind the box are checked on a model-specific basis. Do not assume the distance or external dimensions of a similar box without checking. The documents and assembly specifications for your chosen version count towards approval.

3. Will the components reach the planned location?

Even if the fully assembled box fits in the office, a bottleneck on the way there can make delivery difficult. The transport and component dimensionsare crucial, not just the external dimensions of the assembled box. Have the relevant dimensions for your model confirmed before ordering.

This information will help you check the delivery
Station What you should take What is important
Delivery point Address, access, stopping point, distance to the entrance and Unloading situation Where will the goods be picked up and who will take care of the further transport?
Entrances & Doors Clear passage width and height, thresholds and consecutive doors Measure the actual free opening, not the outer door frame dimension.
Corridors & Curves Widths, narrow spaces, changes of direction and photos A large component may require space for Turn.
Elevator Door opening, usable cabin dimensions and permissible load Door passage and cabin must both fit; the elevator alone does not solve every bottleneck.
Floor & last section Floor, stairs or steps, path from the elevator and access to the parking space Coordinate stair transport and other special features in advance, do not assume this as a standard service.

If dimensions are tight, a marked floor plan and photos of the bottlenecks will help. For larger models, the installation should be clarified before delivery and assembly are scheduled.

4. Plan equipment and acoustics together

Interior equipment

Table, seating and screen influence the usable area. Select equipment that is assigned to the box model and check the confirmed scope of delivery.

Glass & privacy screen

Wall structure, glass surfaces and the desired privacy screen are part of the configuration. Smart glass offers visual privacy in the models provided; it does not replace an acoustic evaluation.

Technology

Plans power, USB, USB-C, LAN and monitor options as required. Availability, location and possible additions vary depending on the model.

The acoustic selection includes the tested design, your conversations and the listening situation at the installation site. Distance from neighboring workstations and office noise influence how intelligible speech outside the box is. An acoustic class alone is not a blanket guarantee of confidentiality.

The details can be found in our guides on Equipment & customization, Sound insulation in everyday office life and ISO 23351-1 & acoustic classes.

5. Agree on delivery and assembly before ordering

Clarify whether you would like to use our assembly service or organize the assembly yourself. The assembly service booked includes delivery to the installation site, assembly and packaging disposal in accordance with the agreed conditions; Suitable access or a sufficiently large elevator is required. Special transport routes must be agreed upon in advance.

If you assemble it yourself, you also plan to take over the goods, check for transport damage, onward transport and packaging disposal. Agree on which instructions, people and aids are needed for the specific implementation.

Special feature of the Smart Line

The Smart Line is generally offered for self-assembly and is delivered to the curb. You take delivery of the goods there and organize further transport and, if necessary, interim storage of the pallets. An assembly service is only possible on request if you can temporarily store the goods after delivery. Since exact delivery times are not possible, assembly may be carried out separately, at the earliest around two to three days after delivery and after a confirmed appointment.

Delivery time, scope of delivery and scheduling depend on the model, availability, equipment and location. In particular, plan for special requests and necessary approvals in a timely manner. You can find current information under Delivery & Shipping and Assembly Service; We will clarify the specific performance and costs for your project.

6. Your planning check: This information will help us

You don't have to have made every decision yet. Send us the existing information and mark what is open - so we can narrow down the appropriate box and the next steps together.

Frequently asked questions about meeting box planning

How much space do I need in addition to the external dimensions?

This depends on the model and location. Considers door opening, access, ventilation, construction and maintenance. We have the required clearances checked based on the specific design and your assembly specifications; A general measurement in centimeters would be unsuitable for this.

Is a box for four people automatically enough for every four-person meeting?

In addition to the stated capacity, compares the interior dimensions and the furniture. Table size, seat width, legroom and conversation duration determine how well the configuration suits you. For regularly longer meetings, it is worth considering a larger alternative.

What do I have to measure if the box is to be on an upper floor?

Record clear door openings, hallway widths and changes of direction. For the elevator we need door opening, usable cabin dimensions and permissible load. Also mention the floor and existing steps. We compare this information with the transport and component dimensions of the model.

Can the box stand directly on a wall or under a low ceiling?

This must be checked for the specific model. Exterior height alone is not enough: air flow, assembly and maintenance access may require additional clearance. Let us know the height of the room and possible obstacles before you decide on a position.

How do we plan an easily accessible or barrier-free solution?

State your requirements early on. We look at the model, door opening, threshold, movement areas and interior design together with the intended location. A model name alone does not replace checking your specific use and planning.

When should we determine colors, smart glass and technology?

If possible before ordering. These decisions can influence design, scope of delivery and delivery time. Later retrofitting is not possible across the board and will be checked individually for the model and desired option.
